How to complete work assigned personally to you, optionally add a photo, and mark it done.

This is the main page for housekeepers and technicians. It covers the whole normal day: from ‘something has been assigned to me’ to ‘I submitted the work’.
A housekeeper is a cleaner in everyday speech; a technician is responsible for repairs, inspections, and replenishment.
What a work item looks like
Each assignment is a card. It looks like this:
Checkout cleaning
Work started. Complete it and submit the results.
The card shows:
- the number at the top left — the room number;
- property — always on a separate line, even when the names of two properties begin in the same way;
- top line — the type of work: cleaning, repair, or inspection;
- large text — exactly what needs to be done;
- ‘Date’ — one day on the card, never two. On a cleaning it is the work date with the label ‘today’ or ‘tomorrow’; on every other kind of work it is the day the deadline falls on, with the hour and the distance to it. A task with no deadline shows its work date. The ‘Urgent’ mark appears two hours before the deadline, then changes to ‘Overdue’ after it; the two signals never appear together and do not create a hidden work order;
- Status — the current stage of the work;
- Assignee — who is doing this work; a dash until somebody is named.
Select the card to open the full work item.
Your day in two actions
- Open the work assigned to you.
- When you have finished, optionally add a photo and select ‘Done’.
That is all. The rest of this page covers cases where something goes wrong.
Where to find your work
Open ‘Tasks’. The ‘To Do’ view opens first and shows only personally assigned work where the next allowed action belongs to you. The separate ‘Today’ view shows work assigned for the current operational date, including visible scheduled work that is not yet actionable.
Work comes to you already assigned. You cannot and do not need to take tasks from a shared list: the administrator decides who does what.
If duties are enabled for the organisation, your own plan for today appears above the work: property and time. This is not an attendance record or permission to take any cleaning task. The schedule is a plan, not a record that work actually began. Continue to complete only a task assigned personally to you. The plan may name another property, while the work list always combines all of your assignments.
‘Not planned today’ means you have no shift on that day; ‘Schedule needs review’ means the administrator needs to update the plan. Learn more: Employee shifts.
List views
The selector at the top changes the contents of the list, not its order:

In the menu, a separator places the additional ‘Upcoming’ and ‘Reported by Me’ views after the primary views.
The administrator’s primary views are ‘Current’, ‘Important’, and ‘Recent Changes’. The last view includes completion and cancellation as well as a task being returned or reopened. Important collects active tasks due within the next two hours — including ones already overdue — as well as tasks carrying an administrative stage, tasks awaiting review, and blocked tasks whose next step belongs to the administrator or whose block review time has passed. A task that merely blocks readiness without matching any of these signs does not appear in the list. The secondary views after the separator are ‘Available Now’, where the next permitted action belongs to the current owner or administrator, and ‘Scheduled’.
No employee list reveals other people’s or unassigned work. There is no daily order or position number: a card’s visual place in a list does not say which task to do first.
Checkout forecast
Under ‘Upcoming’, before tomorrow’s tasks, you will see a forecast of checkout cleaning for tomorrow across all organisation properties; the forecast for today appears under ‘Today’. It contains only the room and expected time, with no position. The label ‘Expected check-out: Do not start’ means that this is not yet a task or a confirmed checkout: it contains no guest, stay, assignee, or actions.
After the actual checkout is confirmed, the forecast disappears and a checkout cleaning appears: ATQAR immediately chooses an assignee and an exact hour inside that person’s shift. Only when no duty or free hour fits does the cleaning stay unassigned, waiting for an administrator. You can carry out and submit only work assigned personally to you.
If an administrator moves the work date of a scheduled cleaning task, or it is not completed on its work date, the system recalculates the following dates for the same stay. Check the updated day on the card: the assignment remains.
Cancelling a missed cleaning task after its work date has passed preserves the first day after that date as the missed day. Cancelling it later does not shift the schedule again; the cancelled task does not return automatically.
If the work date looks wrong, tell the administrator. You cannot take unassigned work yourself.
Search and filters
The search field searches by title, room number, and property. Enter 204 to
leave only tasks for that room.
An administrator can filter tasks by status, type of work, work date, and the real ‘Due by’ deadline, and can also enable ‘Overdue’. Under type of work, ‘All cleaning tasks’ combines checkout cleaning, cleaning on the stay’s recurring schedule, and scheduled cleaning manually created by an administrator — for example, at a guest’s request or for a common area.
Housekeepers and technicians do not have status or work-type filters: the short views above already answer their daily questions. Active administrative filters appear above the list; each can be removed separately, while ‘Clear advanced filters’ removes them all at once. If the list is suddenly empty, first check whether a filter from yesterday is still enabled.
Work statuses
Cleaning, repairs, and other work that requires acceptance move through these statuses in order:
- Scheduled
- Ready to do
- Under review
- Completed
- Ready to do: assigned personally to you and available. Simply opening the card does not change its status.
- Under review — you submitted the result and are waiting for the administrator.
- Completed — the administrator accepted it.
When the status is ‘Under review’, you do not need to submit it again or create a new task. Wait for the decision: the ‘Under review’ status is what says the administrator acts next, and your name stays in the ‘Assignee’ field — this is still your work.
Cleaning and repairs always undergo an independent review. A housekeeper or technician also submits a blocking inspection, replenishment, or general task for review. The assignee completes non-blocking work of these types themselves. An administrator or owner immediately closes an inspection, replenishment, or general task they completed personally, including when it blocked readiness.
There are three more statuses:
- Scheduled — an automatically created cleaning task cannot yet be completed. After the guest has actually checked in with agreed dates, a task within the next two operational days becomes available. Without a recorded check-in, or when the date range needs correction, it remains a plan even on the day;
- Awaiting resolution — the work cannot continue; someone else needs to act.
- Cancelled — the work is no longer needed and an administrator cancelled it.
Complete work
Open work assigned personally to you, do what the card says, and select ‘Done’. You do not need to record a separate start. The button is available only to an active employee with personal assignment when the task state and time guards allow the action.
A task carries no separate ‘not before’ time: what allows you to start is the task’s assignment and state. The exact hour of a cleaning is a plan, not a permission.
You do not need to write a report for ordinary completed work: the expected result is already in the task. Add a short note only when something important needs explaining.
A photo or video is optional too. For work that requires review, you can add one before selecting ‘Done’:
- for work that requires review, with a photo or video, an administrator can review the result remotely;
- for work that requires review, without a usable file, an administrator inspects the result onsite.
When the work type does not require separate review, Done closes the task immediately whether or not a file is attached.
A missing file or upload failure does not prevent completion. Retry the upload or continue without a file. Do not close the page while you still want to keep a file that has not finished uploading.
If the administrator returns a result, the reason remains on the card above the main action until the next submission. First read exactly what needs to be corrected; do not start a duplicate task or erase the context with a comment.
Submitting cleaning or other work that affects readiness does not yet make the room ready. The room only becomes ready after the administrator accepts it. This is intentional: cleaning is accepted by someone other than the person who performed it.
If the work cannot continue
Sometimes there is no key, the room is occupied, supplies are unavailable, or something else is broken.
Select ‘Cannot complete’ and briefly state the reason. The system sends the issue to the administrative queue and sets the next review time. An administrator can change the assignee or time when needed.
Do not leave stopped work unexplained. The administrator can see an open task, but only a block unambiguously records the obstacle, what it waits for, and the review time.
When the obstacle is resolved, open the card and select ‘Problem resolved — continue’ if that action is available to you. The work is ready to complete again; no separate start is required.
If you find a problem
If you find a fault, damage, or shortage, report it separately rather than mixing it into the cleaning task.
- In the current work card, select ‘Create a task’.
- Enter a brief description in the ‘Task description’ field.
Optionally add a photo or video using the buttons below the description.
The property, room, and source task are added automatically. The administrator decides the deadline, effect on readiness, and what should happen next.
The directory available to an employee contains only the room number and property. It does not reveal the guest, stay, readiness, or other people’s tasks. A guest’s name can only appear inside your current task assigned personally to you for that room.
Your cleaning task remains your cleaning task. A problem report is separate work and does not disappear when you submit the cleaning task.
Comments
Cards include comments. Use them for clarification: ‘I’ll come after 14:00’, ‘the key is with security’.
A comment does not change the work status or replace the ‘Done’ action.
What not to do
- Do not close work to remove it from your screen. If it is not needed, tell the administrator, who can cancel it.
- Do not duplicate work by creating the same task again.
- Do not write a mandatory report: there is none. Use a comment only for an important clarification.
