You see at once what today holds: check-ins, check-outs, free rooms and urgent tasks. Below it: the day's events, who is on duty, and how ready the rooms are.

## 03. The process

### From checkout to a ready room — one process

Once a checkout is confirmed, the system creates the cleaning automatically. The task moves through four states, from assignment to an administrator's review.

- **The task is assigned** — The cleaning is attached to a named person, with a room and a deadline.
- **The employee starts cleaning** — The phone has everything needed: the property, the room, the deadline and the task's details.
- **The work awaits acceptance** — The employee finishes the cleaning and attaches a photo or video if needed. The administrator checks the result.
- **The room is ready** — The task closes only once an administrator has accepted it.

## 04. The plan

### The schedule decides who works, and when

the week's duty

All of the team's shifts sit in one weekly grid. The system sees each employee's duty and places cleaning inside the time they are available. Assignments then come out predictable, and an administrator does not have to assign everything by hand.

- **The whole team, in one schedule** — Cleaning, administration and maintenance work from the same grid. A schedule change is visible to every employee at once.
- **A free slot is found automatically** — The system finds the nearest available time inside the duty, allowing for the preferred cleaning time.
- **A manual choice is allowed, inside the duty** — An administrator can choose the employee and the time themselves, but only within their duty. If there is no shift, the schedule changes first.
- **An assignment can be changed by hand** — If an administrator assigns a time and an employee by hand, the system does not change it automatically afterwards. If a task cannot be placed, it shows the reason.

## 05. Occupancy

### Planned and active stays — in one calendar

See which rooms are occupied, who is checking in, and when each room becomes available. If needed, you can add a booking reference from your primary system to a stay.

- **Cleaning follows the stay schedule** — Cleaning frequency is set for the property or for a specific stay. If several cleanings are missed, the system creates one current task — without building up overdue work.
- **One room cannot be occupied twice** — Planned and active stays occupy the selected dates on the calendar. If the dates overlap, the system will not allow a second stay.
- **Check-in is confirmed before arrival** — One day before check-in, the system asks you to confirm the guest's arrival. If the check-in time changes, confirmation is required again.
- **Exceptions become tasks** — A guest who does not arrive, an unconfirmed checkout, or a date discrepancy automatically becomes a task for the administrator: the situation will not go unnoticed.

## 06. Roles

### Four roles. Everyone sees only what is theirs

A role determines permissions in the system, not an employee's job title. The administrator allocates work and oversees the result. Repairs and inspections can be assigned to any suitable employee, while cleaning can be assigned only to a housekeeper who is on duty at that time.

Whose screen is this:

- **Housekeeper** (`housekeeper`) — Sees their tasks for today, their schedule for the week, and upcoming checkout cleanings. Other people's and unassigned tasks are not displayed.
- **Technician** (`technician`) — Receives tasks for repairs, inspections and maintenance. When necessary, they can mark a room unavailable, giving a reason and a review deadline.
- **Administrator** (`administrator`) — Manages duties and tasks: assigns workers, confirms checkouts, accepts completed work or returns it for rework.
- **Owner** (`owner`) — Manages all of their properties from one account. Sees the work of administrators and employees, and manages access and roles.

## 07. Signals

### Nothing important goes unnoticed

ATQAR reports new tasks and changes across several channels at once, and the current status always stays in the system.

- **Live** (`realtime`) — Changes appear on an open screen right away, no page refresh needed.
- **Push notifications** (`push`) — The task, the property, the room and the deadline — no guest, no phone number, no comment.
- **Telegram** (`telegram`) — Tasks and changes arrive in Telegram. There the employee can pause a task with a reason, resume it, and leave a comment. Photographs and review are ATQAR only.

- **Passwordless sign-in** (`passkey`) — After the first sign-in, an employee can add face, fingerprint, or device-code sign-in.
- **View while offline** (`offline`) — Already loaded data stays visible and is marked stale. Changes remain unavailable until the connection returns.

#### Stay (`stay`)

Arrival and departure dates and, if you need it, a booking reference from your own system.

When the room is taken

- A planned stay takes the room like an active one
- A person confirms the checkout, not the calendar
- A stay that has checked in cannot be cancelled
- Arrival, departure and dates arrive as tasks

#### Guest (`guest`)

A name and a phone number, with the stays attached to them. The guest comes back, and their history of visits comes with them.

Who is staying

Worth knowing:

- A housekeeper sees the name but not the contact details
- A note on a guest is still there on the next visit

#### Task (`task`)

Cleaning, a repair, an inspection, supplies — and the fault report that work starts from.

Who does what, and by when

Worth knowing:

- The assignee is one named person
- A due time is a deadline, not a preference
- Urgency is not a checkbox — the deadline sets it
- You cannot accept your own work — someone else does
- A return for rework always carries a reason

#### Room readiness (`readiness`)

There is no ‘Ready’ button, not even for the owner: a room is ready once the cleaning is accepted and nothing is holding it.

A role is a set of permissions, not a job title: what a person sees, and what they may do.

## 09. Questions

### What people ask most often

Eight questions about how the system works and what happens in different situations. Each answer comes with a detailed guide.

#### If everything already works without a CRM, why do we need one?

When you have only a few rooms, you can keep a lot in your head, chats, and spreadsheets. But as the hotel grows, cleanings get missed, departures are forgotten, stays overlap, and employees receive dozens of messages. A CRM brings everything together and shows you what needs attention.

#### Will employees understand it, or will training take a long time?

Everyone sees only what relates to their work. Housekeepers see their own cleanings and schedule; technicians see repairs; administrators see stays, tasks, and employees. This keeps the interface focused, and the main actions are straightforward: assign, start, done, accept.

#### What does the system handle automatically, and what still needs manual oversight?

The CRM automatically creates scheduled cleanings, creates a cleaning after departure, takes employee schedules into account, and highlights situations that need a decision. The administrator steps in where a person is genuinely needed: confirming an arrival or departure, changing the assignee, accepting completed work, or resolving an exception.

#### How can I see what is happening at the hotel right now?

The Now screen shows what matters most: urgent tasks, today's arrivals and departures, employees on duty, and rooms that need attention. There is no need to piece the picture together from calls, messages, and separate spreadsheets.

#### What if a guest changes dates, arrives later, or does not arrive at all?

Changes are recorded in the stay, and the system recalculates the related processes. If something does not match, for example the guest has not arrived or departure has not been confirmed, the situation is not lost. It appears as a task for the administrator.

#### How can I monitor cleaning when I am away from the hotel?

The administrator can see who the cleaning is assigned to, when it should be completed, and its current status. Once it is finished, the work can be accepted or returned. There is no need to keep asking in chat, ‘Has room 205 been cleaned yet?’

#### Will the system work for me if I have several hotels?

Yes. The system is organized around properties. Owners see all their hotels in one system, while employees see only the data and tasks related to their work.

#### Will this replace our chats, spreadsheets, and paper notes?

That is one of the system's main goals. Information has a clear home: planned and active stays in the calendar; tasks in Tasks; employees in the schedule; guests in the separate Guests section. It is no longer scattered across different places and stays connected to a specific room, guest, or stay.
