This guide is for administrators and owners. The **Duties** section shows which
employees are **scheduled** to be available at a particular property, on a
particular day and at a particular time.

Duties are planned for housekeepers — the people usually called cleaners — and for technicians.

A duty is a plan, not an attendance record. It does not track hours worked,
assess an employee's speed, or confirm that the person actually arrived at the
property.

Administrators, technicians, and housekeepers are planned. The owner is not:
they run the organisation rather than being on duty.

## How duties differ from tasks

Three things remain separate in ATQAR:

| Item | Question it answers |
| --------------- | -------------------------------------------------- |
| Duties | Who is scheduled to be available, and where |
| Tasks | Which work is assigned to one concrete employee |
| Task assignment | Who is allowed to start a particular task |

A duty grants nothing by naming somebody: it does not open other people's
tasks, rooms, guests, or files. A repair, an inspection, or a replenishment can be
assigned outside the planned hours as well — personally assigned work is carried
out either way.

Cleaning follows a different rule, set out below: the schedule decides who a
cleaning may go to, and at what hour.

## How to read the week

The initial screen shows a full week: employees are arranged in rows and
operational dates in columns. A bar inside each cell shows the part of the day
covered by the planned duty. Today is marked separately.

> Product demonstration: The team's week. The bar's colour is the kind of work; the role is written out beside the name.

The colour of a bar is the kind of work: **Administration**, **Cleaning**,
**Technical**. Colour is never the only carrier — the role is written out beside
the name — so the grid can be read without telling the shades apart.

Above the grid is the period switcher: the arrows change the week, and the date
between them opens a calendar for any day, today included.

Under each name is “Plan for N h”: the hours you yourself planned for that
person in the visible week. It is your own record rather than output or a
ranking, and rows are never sorted by it.

### On duty now

A separate band above the grid, **On duty now**, lists the people whose plan
covers the current time, each with an “until HH:MM” chip. The heading is about
the plan: ATQAR keeps no record of presence, so “on duty” here means “this is
what was intended”, not “this person is at the property”.

If nobody is planned for this hour, the band says so.

## Open a day and change a duty

Select a date heading to open the day. The day lists its duties: who is planned
and for which hours. No figure is printed beside it — whether the team has
enough time is your judgement, made by reading the day's work.

To change a particular person's plan, select their cell in the week or the edit
icon in the open day.

1. Select a property.
2. Set the start and end of the duty with the range slider or by entering the times.
3. Add another period or remove an unnecessary one if required.
4. Select “Save”.

Times use 30-minute increments, and the minimum period is 30 minutes. Periods
for one employee cannot overlap, even across different properties.

You can add an employee who is not yet present on that day. Past days are
read-only, and plans can be made no more than 31 days in advance.

## Saving is the schedule

A day has one live version. There is no draft and no separate publication step:
the moment you select “Save”, everybody reads that day, and everyone whose own
duty moved is notified. ATQAR answers accordingly: “Saved. Employees notified:
N.”

If ATQAR noticed something — a day with no duties at all, or a short gap between
periods at different properties — it says so after the save, on its own line and
naming the day. That is an observation rather than a refusal: your decision is
recorded, and no warning has to be acknowledged first.

The gap between properties is reported as it is, in minutes. It is the observed
distance in time, not a travel estimate: ATQAR calculates no route.

If somebody else changed the same day while you were editing, the save is
refused — refresh the page and make the change again.

## Where a cleaning gets its hour

The duty schedule is the basis for checkout cleanings and additional cleanings.

Such a cleaning is given not only an assignee but an exact hour: 60 minutes
exactly, starting on the half hour, and that whole hour has to fit inside one
duty of the same employee at the same property.

What follows from it:

- A cleaning cannot be assigned to somebody without a suitable duty. There is
no override — change the schedule first.
- A taken hour is taken: a second cleaning cannot be placed on it for the same
  person.
- If you remove or move a duty, the cleanings inside it are replanned, and the
ones pinned by hand are marked as needing attention.

More about the cleaning itself is in
[Checkouts and cleaning](https://atqar.com/en/docs/checkouts-and-cleaning/).

## What an employee sees

An employee reads their own duty on **Now**, inside the drawing of the day.
Their navigation has no Duties entry: planning is an administrator's decision.
Opening the [duties page](https://atqar.com/en/roster/) by a link still shows them their own week
and nothing of anybody else's.

> Product demonstration: The employee's week: a column is a day, the scale on the left is hours. A block is the duty, and a card inside it is work with an exact hour.

The week is drawn as a board: one column per day, hours down the left, the duty
as a block, and work that has an exact time as cards inside it. Today's column
carries a line at the current time. Times are shown in the property's time zone,
not the phone's.

The current day is also visible on **Tasks → Today**. If different properties
are planned during the day, the app does not change the property automatically
based on the time.

Two messages have different meanings:

- **“Not planned”** — the employee has no duty on that day;
- **“Schedule needs review”** — the employee's details changed and an
administrator must update the future plan.

The employee cannot see colleagues or unassigned tasks.

## If the connection drops

A schedule that has already loaded remains readable, but may become stale. A
duty cannot be saved without a connection. Reconnect, refresh the page, and
only then continue.
